IBM Connections Desktop Plug-ins for Microsoft Windows

Full Description

Use the IBM® Connections Desktop Plug-ins for Microsoft™ Windows™ to share content between Microsoft Windows applications and IBM Connections. Use sync capabilities to keep local copies of files synchronized with exact copies on the Connections server. Use Connections Content Manager (CCM) document management capabilities to upload, manage, organize, and collaborate on community files in libraries.

New as of Version 17.4 (April 2017):

Version 17.4 of the IBM Connections Desktop Plug-ins for Microsoft Windows introduced the following:

  • Support for IBM Connections 6.0.
  • Support for nested folders and My Drive (Connections 6.0). My Drive allows you to organize important folders and files which can be synchronized with copies on your Connections server. Always have the latest copy of content you created or that was shared with you.
  • Support for a configuration where Files are stored in Cleversafe rather than in the native files repository.
  • Performance improvements, including the reduction of sync delays. Updates to folders and files are synched immediately rather than being queued for regular sync intervals.
  • Miscellaneous defect and PMR fixes.

Please refer to this link for important install considerations & troubleshooting tips for Version 17.4 (April 2017) or later.

Attention: If you are installing the latest fix update (dated April 26) over the previous update (dated April 10):  For each site you connect to, you might find that sync is disabled after the update.  In this case, right-click each site name and re-connect.

The IBM Connections Desktop Plug-ins for Microsoft Windows provides the following features from Microsoft Windows Explorer:

  • Upload local files to IBM Connections from Windows Explorer or from your desktop
  • Share uploaded files with people, communities, or folders in IBM Connections
  • Work on files locally and publish them to Files, communities, Activities, or Wikis
  • View people's contact details and get in touch with them (Connections only)
  • Pin, follow, or like IBM Connections files and folders
  • View or contribute comments for a file
  • Lock a file when you are editing it to prevent file conflicts
  • View and restore files from IBM Connections Trash
  • Share folders with IBM Connections Communities
  • Support for IBM Connections Social Cloud
  • Metrics - Provide usage metrics for file and folder view access
  • Community Folders
  • File sync - use sync to keep selected files synchronized with exact copies on the server.  (Note: Sync is available for personal files but not for community files or library files within a community).
  • Connections Content Manager (CCM) - use document management capabilities to upload, manage, organize and collaborate on Community library files from the desktop.  (Note: CCM is available for libraries within a community but not for stand alone libraries that are used for accessing an existing repository of documents stored on an Enterprise Content Management server).
  • Expanded the MS Office Ribbon with additional File actions (e.g. Lock, Unlock / Check Out, Check In, etc.)
  • Indicate when a file is up to date or still syncing.
  • Initiate desktop editing of files directly from the web browser. (Available for CCM with Connections 5.0 CR1; available for files and community files with    Connections 5.0 CR2).
  • Open in Browser option on folders (via context menu of a folder)
  • Copy link and send link options on folders (via context menu of a folder)
  • Support multi-selection of value in meta-data properties
  • Show the default value for custom attributes of mandatory attributes.
  • Allow the customer to change the temporary download path for CCM files
  • Administration setting to disable 'Connect to Cloud' UI actions
  • Nested Folders (Windows Explorer).  Note: Nested folders are not yet available for sync or in Office plugins.
  • Improved Explorer drag/drop support, including ability to drop a file (or folder) from the desktop directly into a Connections folder
  • Improved type ahead support
  • Office - Save to Connections:   When saving a document in Microsoft Office, you now have an option to choose the folder location where you want to save the file in Connections (My Files and Communities)
  • Updates for Connections Files Cloud: IBM Connections Files Cloud subscribers now have the same features found in IBM Connections Desktop Plug-ins for Microsoft Windows. Previously, Connections Files Cloud users could see only the File Sync functionality in the Windows plug-in, and not the Windows Explorer view. (Note that Connections Files Cloud does not include other IBM Connections applications such as Activities and Wikis, so those features are not available in the plug-in).
  • Support for files of up to 2 GB.  (Beta feature.  To enable this feature, select the 'Enable beta features' box in the Preferences tab)
  • Support for Federated login on Connections Cloud through application passwords or SAML.  See administrator documentation for configuration details
  • Policy to give administrators greater control over whether to allow connectivity to sites with untrusted certificates.  (Please see the table below for details).
  • The ability to add/remove the Sync node from the Windows 10 File Explorer navigation pane.
  • Installation change:  IBM Connections features are no longer available from the Microsoft Outlook ribbon for new users. All of the features previously available from the ribbon are now available from the sidebar or context menus when you install the IBM Connections Plug-in for Microsoft Outlook. This change simplifies the user experience for customers by eliminating redundancy and simplifying provisioning.
  • Policy to give administrators control over whether users are able to use sync.  (Please see the table below for details).
  • Support for IBM Connections Cloud via IBM Marketplace - customers receiving entitlement to IBM Connections Cloud through the IBM Marketplace (www.ibm.com/marketplace) can use the Desktop plugin with their IBM ID.

finally - but blasting! Context information is also impressive....great work!
 commented on 3/20/12 10:44:04 AM
How about other language environment except English?
 commented on 3/20/12 11:17:57 AM
Very impressive. Exposes a huge amount of workflow in an easily accessible way, particularly sharing and versioning. Possibly *the* killer plugin for Connections. One weird snag - for some reason the context menu is missing when browsing Desktop, both from the direct link in Explorer or from Documents And Settings\userprofile. Anyone else seeing that?
 commented on 3/20/12 11:28:45 AM
The context menu is missing on Desktop items due to a technical limitation. Possible workarounds are being considered for a future release.
 commented on 3/20/12 11:29:49 AM
This driver supports all languages supported by the IBM Connections product.
 commented on 3/20/12 2:03:42 PM
@Ky Young Kim, please see the Details tab for the 27 languages supported besides English.
 commented on 3/20/12 2:12:59 PM
@Alan Head, you can drag and drop files from the Desktop to Windows Explorer.
 commented on 3/21/12 6:18:05 AM
Thanks David, useful workaround. And a fantastic plugin, particularly the way it exposes the collaborative editing and version control built in to files. This is likely to be the killer app to justify a Files & Profiles proof of concept here, it gets attachments out of email and gets people working more collaboratively in a tool with which they are familiar...

This demo walks you through most of the features provided by the plug-in: http://www.youtube.com/watch?v=Q5CU9cMvk7k

@All: Do you have installed Connections 3.0.1 FP1 before using this plugin?
 commented on 3/21/12 12:19:25 PM
It's terrific !
 commented on 3/21/12 1:11:21 PM
@Luis.. nice video, thanks.
 commented on 3/21/12 3:22:09 PM
@Ralph. I am using this plugin against servers without FP1, and everything seems to be working just fine.
 commented on 3/22/12 10:33:14 PM
One of my customers is trying it and they love it. They had one question though: Does IBM have a recommendation around how to deploy certificates across the corporate environment to ensure the security prompts don't appear?
 commented on 3/23/12 8:16:34 AM
@Robert The security prompts occur if the server is using an untrusted SSL server certificate. This is usually due to the server SSL configuration being configured with a self signed certificate, but it can happen for any server SSL certificate that cannot be validated with the current certificate authoriity chain installed on the clients. To remedy this situation the sever just needs to use a valid SSL certificate that can pass the WIndows certificate authority check.

Worked with plugin sveral hours without fixpack. Perfect fit to Connections functionality. It was definetely the missing link. Just curious is similar type of concept applicable to MacOS and iOS?
 commented on 3/26/12 8:51:59 AM
@Oleg. This plugin is only available for Windows platforms. There is a mobile product available for iOS and Android. The iOS version is available in the App Store (IBM Connections).
 commented on 3/26/12 10:08:42 PM
@Timothy. Thank you for reply. I'm aware about mobile version. But it could be be really interesting IBM offering to provide similar kind of functionality (moving files form/to OS Files Navigation component) for MacOS. (I've got several requests from Mac owners today after presenting plugin functionality)
 commented on 3/26/12 10:10:25 PM
Are there any plans to add Vista (64 bit) support? (Another end user request.)
 commented on 3/27/12 4:59:47 PM
@Oleg. For this plugin, we've opted to support 64-bit Windows desktop clients through Windows-7 64-bit support. Thank you for your interest and we hope this plugin can improve your experience with IBM Connections.

I am using Windows 7 and this plug in works great. Although nothing stated that this will support the IBM SmartCloud for Social Business, I figured that I would try it anyway. It did not work. Are there any plans to develop a similar plug in for the IBM SmartCloud for Social Business?

Great plug-in! Maybe, I am missing something, but once you add a community and people, where is the option to add additional communities and people?
 commented on 3/29/12 1:56:26 AM
Figured it out. It seems the Windows Explorer interface is the optimal way to use this functionality.
 commented on 4/3/12 10:47:44 AM
@John The plugin has not been adapted to work with IBM SmartCloud for Social Business. It is for IBM Connections on-premise at the moment, however we are strongly considering cloud in our future plans. Thank you for mentioning your interest!

Would it be possibe to add media gallery to the windows gallery plugin. As soon as you start using media gallery you realize you want to upload batches and drag stuff from windows explorer.

I have some questions regarding this connector: 1. Will it be possible to upload entire folders 2. Will it be possible to create subfolders ( nested folders ) 3. Will it be possible to directly upload a file into a folder and not to upload it to files and then copy it into a folder Thanks a lot...
 commented on 7/5/12 3:30:29 PM
The one thing the plugin seems to be missing is that I can't save directly from MS Office to Files. Even if there was a save to Files button in Excel,Word, etc it would be nice but if when saving a document Files looked like another drive when saving a document that would make users happy.
 commented on 7/9/12 2:24:51 PM
@R Brandl. 1. You can multiselect files in a folder and upload them with a single gesture - any selected subfolders however are ignored (see #2). 2. The Connections server does not support nested folders so the client does not have this feature either. 3. Connections folders are virtual folders in that they do not actually contain the files in them - those files exist someplace else (e.g. Files). There are a number of edge cases with dragging directly to a folder such as handling duplicate filenames, etc. We continue to evaluate first class solutions to these edge cases that will provide a UI experience that is consistent with the rest of Windows Explorer. For the time being we felt that the current 2 step process (dragging to files and then adding to a folder) accomplishes the task without suffering from some of the nasty edge cases. Support for a single step process is on our current feature backlog list.

Due to other software needed for my company I will probably be running Windows XP 64-bit for awhile. I know that it's on older OS but are there any plans to support XP 64-bit?

@Andre - any update on intentions to make this available to Smartcloud files ?
 commented on 9/10/12 8:48:49 AM
@Neil. Thank you for your interest in support for SmartCloud. As you know, the plugin has not currently been adapted to work with IBM SmartCloud for Social Business. It is for IBM Connections on-premise deployments. SmartCloud is under consideration for a future release, but there are no concrete plans in place at the moment. Thank you for again for your interest.

Posting a document in a Blog requires a Blog document Template. Is this available somewhere? Thanks for the feedback
 commented on 9/14/12 11:43:40 AM
@Benjamin. The Blog Template is built into MS Office 2010. The online help has a brief description of how to convert an existing document to the blog template: "You can also convert an existing document to the blog template within Word. Click File -> Save & Send -> Publish as Blog Post. This Microsoft feature reopens the document using the Microsoft blog template." You can also create a new blog post by selecting File->New and selecting the Blog Template. These instructions are for Office 2010 and my be slightly different on Office 2007.

Great plugin !! Communities list in Windows Explorer should be populated automatically. Now you have to right-click and choose Add. It's not easy to spot the little icon for adding communities in the dialog that opens. Also, it should be able to select multiple communites to add. Is it possible to centrally administer these settings ? A prepopulated list of communities ?
 commented on 9/19/12 11:16:02 AM
@Petter. Thanks for the feedback. Some users who are members of or following lots of communities might find it difficult to access the communities they frequently use if they were automatically added. Having either approach as a preference is something we are considering for a future release, but for the first release decided to let users manage which communities they access from the desktop. The little icon is really just a helper to get quick access to communities you are following or are a member (I'll feedback the usebility issue on the size). You can also use type-ahead to directly enter a community name (and search for communities as well). You can add multiple communties - just continue to select communities in the dialog (either via the quick pick lists or the type-ahead) and then select add. At this time it is not possible to centrally manage the list of communities to pre-populate clients.

 commented on 9/21/12 2:00:03 PM
@Jonathan. SmartCloud is not a supported platform at this time - even with the previous 3.0.1.1 version. The plugins have not been certified against this environment and there are known technical issues that prevent support at this time. The 302 you are seeing is one of those issues and is due to recent change by the SmartCloud deployment. IBM continues to investigate the possibility of supporting SmartCloud with the plugins in a future release.

Please get this working for SmartCloud Social Business customers. This would be HUGE! Many of my users opt to use other applications simply because they can't edit files easily. They could at one time using a plug in called eXpresso but that vanished one day. That functionality is dearly missed.

According to the supported languages section under details, norwegian language is supported. But, when I install the connector, I cannot choose norwegian as language. How to I enable norwegian language ?
 commented on 10/25/12 5:29:40 PM
@Petter. Support for all supporeted languages is always installed - regardless of the language choice slected in the installer. The language selection in the installer only specifies the language to use for the install UI. Not all languages are supported by the installer UI.

Joseph, any way to get a msi installer for the desktop plugin and list of any switches for it?
 commented on 11/5/12 12:51:08 PM
@James. The install switches are documented in the online help: http://www-10.lotus.com/ldd/lcwiki.nsf/xpDocViewer.xsp?lookupName=IBM+Connections+4.0+documentation#action=openDocument&res_title=Performing_a_silent_installation_ic40&content=pdcontent When the install exe is run it extracts an msi to the temp folder. Not all switches apply to the mis install. IBM does not officially support directly installing via the msi so any issues you find would have to be duplicated via the exe install.

Doesn't work for us for IC 4.0 GA. Same version works fine for LC 3.0.1 and IC 4.0 beta 2. Have checked differences with Fiddler and found that 3.0.1 returns 'https:' paths in response for .../files/basic/api/introspection and 4.0 returns 'http:' paths for it which leads to 302 response when plugin queries http://.../files/basic/api/people/feed?self=true&format=xml. For 3.0.1 it queries https://.../files/basic/api/people/feed?self=true&format=xml and works fine. Please advise.
 commented on 11/15/12 9:06:46 AM
The plugins were QA'd against IC 4.0 GA and are full supported. The plugin should not be requesting http urls. How did you configure the server configuration? Did you specify https? Even if you specified http it is supposed to change to https - it does so on my system. Please open a support issue to get this resolved.

Yes why does IBM not support Firefox ESR? We also using the ESR Release 10.10.
 commented on 12/3/12 4:45:45 PM
The browser statement at the top of the page is not an IBM/browser support statement, but a catalog support statement. Newer browsers should work wtth the catalog, they just haven't been formally tested for compatibility. The catalog team is working on catalog updates and testing more browser combinations and they hope to update the browser compatibility statement soon.

Hi team, the plugin looks great. All the MS Office integration seems to work fine for me. However, the Windows Explorer functionality does not due to it not being possible to establish a connection with my Connections server. I suspect this is the same problem that prevents users from connecting to the SmartCloud Connections env as I am also attempting to connect to my Connections env externally (ie. I'm not on the same network as where my Connections env is hosted). Can you clarify a little more as to why the MS Office interactions are fine yet Windows Explorer interactions fail? Many thanks.
 commented on 12/10/12 9:40:55 AM
If the MS Office integration works then the MS Explorer integration should also work - they share the exact same plumbing for connecting to the server. If things are not working you should open an incident with IBM support.

Notes plugin puts email content to the activity entry but for some reason Outlook plugin makes an empty entry with attachment which can only me opened by Outlook users. Isn't it useless in heterogenous environment? I am not really interested in msg file, I just need to read what email says.

When I create a new folder I am unable to share it with a community, only people or group. Also I am unable to put any files to any folder. When I drag a file to a folder I cannot drop it in the folder. I am able, however, drag and drop to My Files.
 commented on 1/4/13 9:44:39 AM
@Alexey. Sharing folders with communities is only supported against Connections 4.0 servers. Connections 3.0.1.1 servers do not allow folders to be shared with a community. If this is not the behavior you are seeing then you should open an incident report with IBM support. Dragging files to folders is not supported - there are too many edge cases associated with folders containing multiple files with the same name. The obvious work-around is to first create in My Files and then add to the folder. While this is something that is being considered for a future release, it depends on a design that can handle the edge cases without requireing more steps than the work-around of just posting to My Files first.
 commented on 1/4/13 10:32:25 AM
@Joseph I have Connections 4 CR2 and I am able to share folders with communities from the web interface but not in the desktop plugin.
 commented on 1/7/13 8:26:16 AM
@Alexey. If you had previously connected to a 3.0.1.1 server, try removing (disconnect from site) and then re-adding the connection to the server. The plugin may have locally stale information about the server version. If that doesn't work then please open an incident report with IBM support. Sharing folders with communities via the plugins is definitely supported.

It would be nice to see some information on this page on how to register Connections as a Blog Provider in Office 2010/Word. I had to choose 'Other', and use the default API of MetaWebLog in order to get a list of Blogs to publish to. The Blog Post URL that worked for me follows the format of: https://[yourconnectionsFQDN]/blogs/services/xmlrpc However, while I was able to register an account, publishing still fails with "Word cannot publish this post" (I created it with the blog template) Alternatively, I tried the Connections menu option, which again, I could choose Blog and click the Blogs button, but publication fails with "Item not found". I would like to go back to the 3.x plugin (worked fine), but can't find it, does anyone have a link to it?

However, when I try to download a file from SmartCloud I get the following error: --------------------------- Download Failed --------------------------- Unknown error: 5-Year Cost Comparison Chart.png (302) --------------------------- OK --------------------------- When I try to drag and drop a file from SmartCloud to my local file system I get a similar error: [Window Title] Error Copying File or Folder [Content] The volume is too fragmented to complete this operation. [OK] Those errors don't happen when I do the same operations with Greenhouse content. My local drives were recently defragmented, so I'm going to have to do some more investigation to track down the cause. In the meantime, suggestions are very welcome.

We're just finishing packaging the plugin for our XP users, but we also have a large number of users who access their desktop via Citrix XenApp. The OS for this platform is Windows Server 2008 R2 64-Bit and the installer fails with an eror stating it must be installed on Windows XP/Vista/Win7. We did manage to virtualise the plugin with AppV and use it on the Citrix platform, but I wonder if you could officially release a package that will allow the plugin to be used for Citrix users? @Luigi Bellani The plugins leverage the Microsoft Windows internet proxy settings: Control Panel->Internet Options->Connections(tab)->Settings(button).
 commented on 8/30/13 9:57:15 AM
@Kejia Ye The plugins are equipped out of the box to authenticate through your IBM SmartCloud login. Authenticating through a custom login (i.e. My Organization's Login) would require the creation of a custom authentication routine specific to your organization's authentication process. The plugins have been architected to allow for plugging in of these routines to handle specific customer environments. If you are interested in pursuing this, please contact us for more details.

 commented on 9/13/13 10:40:55 AM
@Roger Sundal Roger, guest accounts cannot connect using the Plugins. An account must be part of an organization. Please let me know. Thanks!

@Roger Sundal Roger, just to rule out a simple connectivity issue in case I am misinterpreting your account time as a special guest/house account. I'm curious about the default funcationlity of the "copy" option on the desktop plug in. When I copy and paste a file into a new folder/community, and make changes to the new file, they are not reflected in the original. It leads to me believe a copy is created as opposed to "sharing" a file to a new folder/community. Can anyone here confirm this is the intended funcationality?
 commented on 9/16/13 5:00:53 PM
@Renee Hi Renee. Folders in Connections follow a referential model, so for example when you take a file from your My Files list and add it to a folder you own, both the entry in My Files and the one in your folder are references to the same physical file stored on the server. If you are seeing differently, can you provide a little more detail on where you are taking the file from and where you are copying it too? Also - is this against IBM Connections or IBM SmartCloud?

 commented on 9/20/13 10:05:55 AM
@Leonardo After you install the Desktop plugin, launch Windows Explorer from your Windows desktop. You should see the IBM Connections node in the left panel. If you right click on that node, the context menu will have a "Connect to a Site..." item. This will launch the dialog where you specify the URL of the IBM Connections server to which you wish to connect.
 commented on 9/20/13 10:17:49 AM
@Kristoffer You are using the correct URL, and you must also select the "IBM SmartCloud Authentication" from the Authentication type dropdown. But to authenticate this way, you must be using an IBM SmartCloud ID. If your organization is configured with a federated authentication, then this simple login will not work. We'll need to discuss specifically.

@Andrei Malacinski. I too am interested in an updated Connections desktop plug-in to support CCM features as well as an updated connector for 'round trip' editing; on the latter requirement, the Quickr connector works with libraries up to a point on IE and Chrome, but not Firefox. This also needs to support both PC and Mac user needs. Our users like the ability to use Quickr Places to browse Connections libraries from the Notes widget, so this is useful functionality to retain, or improve on. Any updates on when the next versions will be available?

I downloaded the latest update (Nov 21, 2013) and when I use 7-zip to extract, it gave me error message "Unsupported Compression method for 'IBMConnectionsMSDeskop.exe'. Anyone have the same issue?

After upgrading to the 4.5.1.366 version I lost my all settings. Before the upgrade I had settings for three connections/smartcloud environments.
 commented on 11/26/13 12:27:18 PM
Is there any documentation online on how to pre-configure the plugin for the users?
 commented on 11/26/13 12:32:14 PM
In 4.5.1.366 and Word 2013 I still cant publish blogs created with the standard office 2013blog template. If I use a document created from the Office 2010 blog template it works. I use Swedish Office 2013
 commented on 11/27/13 10:56:02 AM
To all: We've re-zipped the zip file and validated it works now with 7-zip. Thank you for pointing out the issue. (Note that the .exe inside is identical, we just re-created the .zip)
 commented on 11/27/13 1:17:46 PM
@Ulf Stider Its possible that Office 2013 changed the names of the default template in certain languages (e.g. Swedish). We will look into this. In the mean time we have a registry setting where one can specify template names. Please contact me directly at malacins@us.ibm.com and I will supply the details to you. Also we can discuss the upgrade situation... you should not loose your settings.

I have just installed the plug-in for Windows, and my frustration level is by now quite high. I can't seem to be able to find any guidance, in the videos, or instructions on how to determine what the name of my IBM connections server is. the videos show nice sequences of how it all works, but completely skip this rather vital piece of information. This feels, and seems, like a very basic question, but I haven't been able to find it anywhere, after searching for a while. Apologies if this info is available, whereas I have merely overlooked it.
 commented on 12/12/13 1:52:14 PM
@Martin Baker I certainly want to help you! What needs to be entered is the URL of the IBM Connections server you desire to connect to. For example, enter https://greenhouse.lotus.com to connect to the server on this Greenhouse Solutions catalog. Or to connect to the North American IBM SmartCloud server enter https://apps.na.collabserv.com as the Site URL. Or perhaps your company has an internal IBM Connections server. In that case, connect to it from your browser, then pull the root URL from the browser line and use that. If you are an IBMer (I can't tell from your profile), contact me directly and I can point you at the IBM internal deployments. I hope this helps!

I just installed the plugin for my MS Office 2013 64bit. Everything seems to work fine execpt 1 thing. In Outlook I can activate the Social Connector and it is getting the address book from my Connections Contacts without any problem. But the feeds/activities for any contact do not appear, whatever I try.
 commented on 1/2/14 12:10:27 PM
@Koen The feeds require a hashed email address to be configured as part of profiles on the Connections server. Could it be that the Connections server you are using does not have this configuration in place? Once in place, there is also a client registry setting that must also be in place. Being an IBMer, please contact me directly for additional discussion. thanks.

@Bernhard Pirker Via the context menu in your example, only 1 file at a time can be uploaded. But using drag/drop you can upload multiple file. Try opening an Explorer view to the Connections MyFiles node and dragging in multiple files at a time from your desktop. However please note that this is not intended to be a batch migration technique for moving large quantities of files into Connections.

Similar to Enrico - unable to see any Folders under "Folders" tab for Communities as well (i.e. not just sub-communities)

I opened a Help ticket ( https://w3-01.ibm.com/helpcentral/TicketDetails/View/IN5064327/i_create_a_new_community_httpsw3-connectionsibmcomcomm ), because I thought that it was only a wrong adjustment of a new community created be me. But now I got the advice to post my issue here. I create a new community https://w3-connections.ibm.com/communities/community/B2BOrders for the team so that we can work together on one information , Excel spreadsheet and many files. I had a shared folder storage in my mind... Therefore I liked to solve it with W3 IBM Connections and Windows Explorer Plugin 4.5.1. But I failed not only because of the help ticket content: All of the Folders in the community are not visible in Windows Explorer Plugin. The Community Files are listed but nothing about Community Folders. ( I have no issue here with My Folders). I found more issues that might belong to the ground implementation of IBM Connections: - IBM Connections has no folder structure like any other file system. What is called folder is more a logical album view. That is wy every file is visible under section Files. All file names has to be unique cross all folders. I tried to work around it by creating a sub-community for each Folder. - file attributes are lost during upload. E.g. the file modified date is overridden by the upload date. If a copy a file to Lotus Notes/Teamroom these information is kept. - It is possible to establish a logical name for the community, but it is not possible to link to a file with that upper level human readable name. Each file in whatever community has only a random hieroglyphic system address. To get these naming is a very manual handling thru the Web User Interface. - The IBM Connections Desktop Plug-in for Microsoft Windows is only an Addon to the Microsoft Windows Explorer GUI application. Windows operating system don't know IBM Connections. No other Windows application beside Explorer can work with IBM Connections (automatic synchronization or a Command-Procedure). The Plugin should be designed as a driver for the operating so that it is like a network file system. May be also the support of WEBDAV could help. I look more for an automatic work function beside the human click at the moment. - Also the MS Office Plugin is no real integration in to the Office application. It is only an other entry in the ribbon menu. Integration would mean that I could work with IBM Connections files in an Excel cell like other Windows files. - Without functionalities for data processing IBM Connections is only for human handling and the plugin don't change that. As W3 Connections don't implement IBM Content Manger I don't know if our customers have better functionality. I hope I only have not the right information and some one can help me.

@Enrico Baldovino Sub-communities need to be added to the Explorer plugin just like top level communities. Once you add, you should see folders that people have shared with the community. Please note that we are in the process of enhancing the plugins to show folders that are owned by the community (instead of just shared with the community). This enhancement will be available shortly. Once we make this change, the distinction between the type of folder it is will not preclude the plugins from displaying it.
 commented on 5/22/14 2:19:19 PM
@Doug McNeill You should see folders that were shared with the community by others. As I just mentioned in a previous comment, we are in the process of enhancing the plugins to show folders that are actually owned by the community (instead of just shared with the community). This enhancement will be available shortly.

I will not English, here is Machine Translation: 1, Office in new document (Word, Excel) by the IBM Connections cannot be added directly to the "community" and "File", must first in the local preservation after. 2, in the Office IBM Connections is not "library", not directly to the file to add the file to the "community" and "library" by IBM Connections, nor from the "community" and "library" open direct detection of editing. Should learn about IBM Lotus Qucikr connector features, including support for Notes. 3, the "community" in the "library" folder can't be like Quickr For Domino in the same folder permissions to set separate.

Will there eventually be support for adding files to a Library directly from inside one of the Office applications, like in the Quickr Connector, rather confusing for the users to have to save a local copy of their Office document and then upload it to the library,,,,seems like a step in the wrong direction ?

@Heiki Caban Thank you for your feedback. Direct web editing of a CCM file using the Connections Plugins will be made available soon. Please stay tuned to this forum for updates. Once you start editing a CCM file in Office, you can upload your changes (using the ribbon) directly back to CCM (either as a version or a draft). Currently, to add a new file to CCM, use the our Windows Explorer CCM support. In Explorer, you can navigate to the location where you want to put the file, then add it in via copy/paste or drag/copy. Search initiated from MS Office will launch the web browser search page, where you can search for CCM content. Please give this a try.

@David Tannheimer I just connected to Greehouse (https://Greenhouse.lotus.com) to validate, and community files are working. Please check that you are connecting the plugin to the same URL that I am (including https:// as the protocol). Once you've done that you might want to try clicking "Check feature updates" from the right-click menu on the Greenhouse Explorer node name. This will sync the client and server in the event there was an install mismatch. If still no luck I recommend opening a PMR so our support team can assist you in debugging.

Great tool, but since some weeks the Details Overview for files doesn't show the correct values in additional columns. e.g. Updated / Updated by shows the filename but not the person which did the update. This is true for all additional columns. Only "Name / Size / Type" are displayed correctly. The only way to solve it is to reinstall the plugin. But then after some days the issue reoccurs.

@Christian Weghaus These plugins were just recently updated to add file synchronization capabilities, which allows you to sync files offline. Hopefully this is what you are looking for. From the documentation link ('help page' in above description), go to the section titled 'Getting started with sync'). At this time you can synchronize a flat collection of files. Synchronizing folders is not available at this time. Please give the current capabilities a try.

Hello everyone. Anyone knows about the limitation of "the numers of files which can be uploaded TOGEHTER? (I mean... selecting the many files, then upload them - "how many" is the limit?)" ? I tried 100 files together by this tool and it was succeeded. I'd like to know if there's limitation as specification.

@Marcel Schaefer yes - the zip file for our January update was dated 12/12/2014. We cut the image just before the New Year holiday and completed testing just after. As it turned out, our initial image passed all testing so was not re-cut early January. Let me know if you have any additional questions.

Dear IBM Developers, we are really really interested in your desktop Plugin, but we experienced a strange behaviour. An Example = We were tyring to follow a community ( with the plugins in the explorer ) with the name "Corporate Communications" but when we start the process with "add community" we get the message "no results found" ... but it´s there indeed, because when we look up the IBM Connections / Connections / Communitys folder you can see the "Corporate Community" there ... We already found a workaround on this by following the mentioned community, and then in the "add community" we can see this one in the "Communitys, that i follow" section. Can you please fix this? Thanks again for your plugins and your support. Hope to hear from you soon. best regards, Christian Weghaus

Its a good tool. But I miss to search for the tags in files. Search is only usable by filename an no search for the tags of the document. I think this will be a good feature for this plugin for easy finding od documents. Like in the webclient.

@Paddy Barrett - I see you are an IBM employee. I will reach out to you offline.
 commented on 2/9/15 4:37:20 PM
@Erik Wuestner. As you may know, in recent years, Microsoft has de-emphasized the OSC framework and to our understanding has ceased in releasing updates to address limitations of the framework from its initial offering. So we don't have active plans around expanding or growing our use of the OSC feature. However, we continue to actively invest in the other features of this plugin package.

Hello Andrei, thank you for your message. With the latest version of february this bug seems to be gone. Thank you very much for that!! While testing the current version of the Plugins, the following questions appeared which are requested from our customer: Will it be possible in the near future to synchronize library files from the CCM? And what about synchronizing folders from the files app? We were not able to see if a community is moderated ( only restricted or public ) when adding it. Is this a bug? Thanks again for your support and for this great software. Have a nice day. best regards, C.W.
 commented on 2/10/15 2:29:21 PM
@Christian Weghaus. I am happy to hear the issue is resolved. Synchronization of CCM files as well as files in folders are both key requirements for us going forward, but we do not have a timeline available at this time. The ability to know if a community is moderated is not a feature in the plugin. (Andrei M.)

Dear IBM Support & developers, there seems to be an issue with this version of the Remote desktop plugins -> Is there something wrong with the use of numbers in community titles? We can reproduce this error actually and we got informed by one of our customers about this issue. We also found a workaround: Next to the search field you find a little button with lists of selectable communities. So if you follow the community in your environment at first then you can choose it from the specific list, for details you can get in touch with us. best regards. Christian Weghaus

Does anyone know of a way to pin files (for easy access) that are stored in Community Libraries? (As opposed to using the "Files" app) For example if I have a complicated tree structure of a Community Library, I need to drill down many levels using Windows Explorer until I can get to the file, which can be very uncomfortable. It would be great to have a files upload functionality to My folders and Community folders. Our users are really missing that feature because they compare it with the file system. Without that feature they have to switch between Connections plugin and browser.
 commented on 7/23/15 4:41:13 AM
I got confused while I tried to add multiple files (with or without folders) via plugin into a CCM library. In the web browser the dialog allows me to add tags while uploading multiple files. When I try this within the explorer plugin I do not get the option. The same works for files with browser and explorer plugin. Is this something I need to configure or is just not implemented ?
 commented on 7/23/15 4:47:26 AM
Is it possible to search for tags in the explorer plugin? If I am using tags to structure my files instead of folders I will get pretty huge file lists in one folder. So it would be helpful to be able to search for tags too.
 commented on 7/24/15 9:19:22 AM
@Carten Schulz Thank you for the feedback in this area. The features you request are not currently available. We are investigating ways to manage and navigate large file sets as this is an important requirement from you and others. Thanks!
 commented on 7/24/15 9:24:02 AM
@Carolin Moebius. Right now file upload (via drag/drop) from the desktop to a folder is a two-step process. You must first drag/drop the file into Connections, and from there you can add it to a folder. We are looking to improve our folder support including this use case. Thank you for your feedback.

 commented on 9/16/15 7:35:31 AM
@Michael Fischer, the connections plugin for MS Office should co-exist with the Quickr Places plugin. Please work with support to help determine why you are not seeing the Connections Tab in Office. Also make sure that you are running a supported version Office (see above).
 commented on 9/16/15 7:41:14 AM
@Jim Reilly, File sync does work on Windows 8. A few things to try to see if it resolves the issue: 1. Make sure a recent version of the plugins are installed (don't ignore the required reboots). 2. Right click on the server node and select "Check feature updates" to force the client to refresh its configuration from the server. 3. Validate that the users are configured on the server to use sync. They should have a "sync" view in their web UI. If none of these work please contact IBM support to help resolve the issue.

To some extent not being able to drag and drop files from the desktop file system into plug-in folders defeats the purpose of using Windows Explorer. If you are lucky enough to have Connections Content Manager installed, you can drag files and folders into community libraries.

I have really enjoyed the MS Desktop and Outlook Plugins over the past year or so. We have Connections v4 and it has worked tremendously. We are also implementing Connections v5 with ICM and will be moving to it once it is configured. I have 2 questions: 1) Can you be logged into two different Connections servers simultaneously? Mine makes me log back in each time I log into the other Connections Site. For instance, I'm logged into v5 to test something then log into v4 in another Window (or even a different Browser) to do something else. When I go back to v5 within a couple of minutes, it opens the login page. 2) With the MS Desktop Plugin enabled in Word, there is a 10 minute lag when I click the IBM Connections menu item or save documents locally. This only started happening recently (since the last update) and I can resolve it by disabling the MS Desktop Plugin. Has anyone else experienced this issue, or does anyone have a possible resolution?

@christian weghaus I'm not sure I understand your request. The plugins support internal and external communities now. Are you asking for support for visitors to an external community?
 commented on 11/25/15 3:37:22 AM
@Timothy Rich : In our organisation we have external users, and unfortunately they cannot log in through the plugin. So I believe support for external users is something that could be really useful as it would bring the same level of comfort for external users as the one internal users have been enjoying.

@Amir Barkai, (in Windows) you should be able to right click on the site in Windows Explorer and select Disconnect from this Site..

@Timothy Rich. Thanks for your answer to my previous question. Here's a new one: we're planning to integrate the plugin in our windows masters, and we wondered if desktop SSO would be integrated some day. For the Notes plugin, we can make do with the LTPA token, so the last two remaining apps that need password update are the Explorer plugin and the iOS app. And we know how fond users are of password changes :)

Hi, on right click I don't find the Sync option for the files, what's wrong with my install? I've already unistalled the plugin then installed it again (full features on Custom Installation, not Standard - just in case) but still don't have the Sync option. Plus, I see a folder "Synchronisation IBM Connections" which is created directly under my User's folder (not under User/Favourites as it should, right?). Anyone can help? thanks!

Hi, is there a possibility to disable the synchronization feature.
 commented on 1/25/16 8:00:00 AM
@maria-gabriela Hoza: try to disconnect and connect the site again. In most cases this will solve the problem
 commented on 1/25/16 9:31:09 PM
@Aldric van Gaver I don't know of immediate plans for desktop SSO authentication to the Cloud, like we have with on-premise. There are other authentication options in the works for the Cloud, such as app password and a federated SAML flow.

@Tobias Edelmann You can right click on the sync shortcut in Favorites or on the site under IBM Connections in explorer and select 'Sync'->'Stop using sync'.

Hi, is there a plan to add Support for the File-Open-Dialog of non-Office-Applications like Adobe Reader? It is hard to tell our users that it works in one application but not in another.
 commented on 1/27/16 11:07:53 AM
@Daniel Reinhardt We don't have plans to expose the connected namespace (the IBM Connections node) in the Windows common file dialog. There is a Windows bug related to virtual namespaces that prevents our support at this time. If you use the Connections Sync support, the sync folder is available in the common file dialog, so any files in sync can be accessed from any Windows application.

I see that you still havent made the functionality and logic similar thorugh out the plug-in. For instance, Using "Files" button in plug-in from Office only let you upload the document but not tag and share. Why isnt it the same as when you upload a file from your File browser? Users "always" needs to share and tag and this should be in there imo. A "share with external" option should also be in the plug-in ;-)
 commented on 2/16/16 9:28:00 AM
You mention some important things here @erik borse , especially since it is not possible to turn on "share with external" afterwards do limit the usage of the desktop plugin (which I anyway use all the time, especially the "Sync" folder) Any reply here IBM?
 commented on 2/16/16 10:48:59 AM
@Erik Borse: totally agree with you. Not being to able to share files with external users is really disappointing, especially when you can easily do that from a web-based version of IBM Connections. That's probably the only biggest obstacle we have that prevents us from using IBM Connections. IBM, please, make the web and the plug in version as equal as possible.

I can't see community sub folders in windows explorer. I can see them in Firefox and I have some files in each community sub folder I am using the february 16 release of the windows plugin I am using IBM Connections Cloud in North America. https://apps.na.collabserv.com/ Does this work for someone else or did I misunderstand something?
 commented on 2/24/16 11:50:33 AM
it seems that it is not possible to use "save as" to save in connections directly. this can be very usefull for example if you have a word document and you want to save as PDF in a community do you plan to be able to "save as" in connections as in any other folder

Hi all, this morning i've noticed a problem using the desktop plugin. If I try to open an xls file (20MB), after the download the file result corrupted. When I try to download the same file via Connections web interface, I'm able to open it without problems. Have you ever experienced the same problem? There is a dimension limit for the download of files via desktop plugin? Thanks!

@Erik Borse, @Jacob Andersson, @Pavel Bludov Thanks for your input. The inability to share with users external to your org is a known gap. We have plans to address that. The items aren't yet in formal project plans, so I can't give you a date, but unofficially we hope to have it out later this year. In the meantime, if you have interacted with the external user previously via the web, you can usually find that user in your recent users dropdown list in the sharing dialog. We don't allow sharing via typeahead, but if the user is listed in the dropdown, sharing should work.

@Corrado Brundo Hi, were you able to resolve your issue? We are not aware of any problems syncing down Excel files. If this continues to happen, please reach out to IBM support so we can recreate the issue and determine the problem.
 commented on 3/14/16 12:25:48 PM
@Vladimir Machan Files uploaded to Connections are not automatically added to your sync folder. When you added your site, you should have been prompted as a last step to add a sync folder. This folder should appear under your Favorites (Win7, Win8) or pinned to the tree (Win10). To add files to sync, drag (or copy) the files into this sync folder. The files will be synced to your My Files, and kept in sync. Alternatively, you can add existing Connections files to your sync folder by right-clicking on the file under the IBM Connections node in explorer and selecting 'Add to Sync' or doing the similar action in the browser. The file will by synced down to your sync folder and kept in sync. The files shown under the 'IBM Connections' explorer node are a virtual view of files on Connections. We only download files that you open. Files in your sync folder (under Favorites) are files in your connections sync folder, and are local files kept in sync with the file on the Connections server.

@Timothy Rich We are thankful your team has been working hardly on implementing new features and expanding the existing ones. 1) Created in "Connections Cloud sync" folders should be populating automatically as it now happens to files. You already stated you were working on folder sync. 2) It'd be nice if we could open files directly from "IBM Connections" using MS Office, as were we able to save documents directly to folder in "IBM Connections". 3) I assume deleted from "Connections Cloud sync" file (and folders in the near future) should be gone from "IBM Connections" as well (at least it'd be nice to have the option whether delete a file or stop syncing). For now it leaves the file in the cloud but stops syncing. Sorry, if something has been addressed before. We really want to see that product thriving and taking its place on the market! Good luck!
 commented on 3/15/16 3:39:11 AM
@Timothy Rich Thank you! The sync folder is actually added not while connecting to a site, but when connecting to a cloud - which is what I hadn't tried before. Now I'm able to share a synced file with people but not with communities - unless they are on cloud - right? So I need to wait until my community is migrated to cloud - do I understand it correctly?
 commented on 3/23/16 8:27:00 AM
@Pavel Bludov To answer your comments: 1) We are working on adding folder sync, which should address this comment. 2) This is a known gap that is in the queue. 3) Thanks for the input. There was a lot of discussion during design on how to best handle this case. We decided on 'remove from sync' because of the sharing focus in Connections. Quite often you'd be deleting a file shared with you by others, or shared by you with others. I'll pass along your feedback.
 commented on 3/23/16 8:31:51 AM
@Vladamir Machan The sync folder should be added after connecting to site or to the cloud, IF your server/org supports sync. You should be able to share synced files with either users or communities, on the same server of course. We do not yet support syncing of community owned files.

Beta: Support for saving Office documents to a folder in a Community. (Note: in the General Preference tab, check the 'Enable beta features' box). Interesting option but seems not to work properly now. There are folders presented when saving a file to a community, but seems to be random list of communities !! And failure message pop up (this item cannot be found). I'm aware of the beta status of course but this new option needs some attention (I use Office 2016, Connections 5 CR2)

The desktop plugin has been such a valuable tool for us to use but it has stopped loading the plugin in Word 2013 on some clients. I have uninstalled and reinstalled it, gone into the Options, Add-ins and managed the Add-ins. Each time IBM Connections Desktop Plugin is unchecked (unloaded). So I click the check box (to load the plugin) and the IBM Connections tab appears. But once I close Word 2013 and open it back up, its gone again. Any clue on why and what to do?

Hi... .NOOB here..... I'm trying to transition from SharePoint to Connections. Most functions seem to have an equivalent; HOWEVER, (and a BIG HOWEVER), I need to send files to a community folder VIA a URL. We have an application that leverages VBA (OutputTo) which specifies the complete URL of the file. So, it would be similar to having a full URL of a file to use in a SAVE AS function. Currently the SharePoint equivalent is a HTTP(s) url, so it seems very similar to Connections. I've played around a bit with URL string examples that I found in the ATOM documentation, but I have not successfully cracked the code to post (save as) a file to a community folder via a URL. Does anybody have any ideas?

Enhancement request: please remove the 500 files limit for files. Although I can see some reasons for such behavior, it is insane - no file explorer is expected to show just a HALF of my files! Either show all files from the beginning or show a warning and make a CLEAR hint how to show them all, please. Nobody will seek for a right-click option "get all". Thank you.

Keith - what OS are you looking for the Plugins to support, besides Windows 7, 8.1 and 10? Are you attempting to use them in a virtualized environment (e.g. Citrix) and require a Win 2000 install? If this is the case, please me an email offline (malacins@us.ibm.com). As for max files/folders, the plugins show 500 initially for performance reasons, but a user can see more or all through a context menu option.

Keith wishes that you remove the OS check for server versions that is built into the MSI... Which can be removed using Orca or InstallShield anyway.
